During your no-obligation consultation, we will determine what your needs and goals are, and from there I'll prepare a customized proposal. You'll never be charged an hourly rate because I understand that you shouldn't have to wonder how much your bill will be every month. All services are tax deductible!

In each service package, you'll receive:

  • A hands-free approach to bookkeeping so you can get back to your furry patients
  • The usual bookkeeping duties: recording, classifying and reconciling 
  • Breakdown of medical expenses (AKA - knowledge of where most of your money is REALLY going!)
  • Bank reconciliation 
  • 3 detailed financial reports per month: your balance sheet, income statement, and cash flow statement (as well as a briefing of what they mean)
  • Monthly subscriptions to Hubdoc (cloud file storage) and bookkeeping software: Xero is the preferred veterinary accounting software for real time updates and reports, though we can stick with Quickbooks (Online) if that is what you are currently using
  • Unlimited email communication to make sure we are on the same page
  • Virtual consulting by phone or video call each month to address your current financial health and any other concern

Onboarding Details

I am only able to take a limited number of veterinary practices, but I am currently accepting clients! Take a look at what the on boarding process will look like, given we are a good match for each other: 

Step 1: Free Consultation

  • Complete the short "Discovery Form" survey upon scheduling a Free Consultation 
  • I ask simple questions to get to know your business before the consultation
  • We will do a phone or video consultation, whichever you prefer!
  • All decision makers/owners must be present for the consultation
  • Read-only access to current records and Financial/Bank Statements may be requested
  • If all goes well on your end and mine, a Proposal will be presented after my initial analysis.

Step 2: Engagement Letter

  • Once the Proposal is approved/signed, an Engagement Letter will be presented
  • This is a written agreement between Veterinary Bookkeeper, LLC and your company. It will define the scope of work to be performed
  • Must be signed by all owners/partners and retainer fee or first month's payment received before starting work
  • NO CONTRACTS - month-to-month, with 30 days notice (on both ends!)
  • Monthly payments automatically deducted 
  • Fees are TAX-DEDUCTIBLE!

STEP 3: Setup & Maintenance

  • Already use QBO or Xero? Great! All I would need is an invite for access
  • New to QBO or Xero? No problem, we can handle the setup/migration for a one-time fee and determine the best software billing option for your company. (Xero is the preferred software for veterinary practices!)
  • Once set up, transactions will be pulled from your bank daily and then matched and reconciled on a weekly or monthly basis
  • You will be given a list of instructions of what I need on a monthly basis for things to run smoothly on my end
  • At Quarter or Month-end you will schedule your 30 min - 1 hr video conference where you will be presented with three Financial Statements and analysis.
