Ideal for startup brick and mortar clinics.

Ideal for large / established veterinary practices.

  • Monthly recording, classifying and reconciling of up to 5 bank/credit card accounts
  • 350+ transactions
  • 3 monthly financial reports (explained in layman's terms for clarity)

Standard

Ideal for medium-sized practices. 

  • Monthly recording, classifying and reconciling of up to 4 bank/credit card accounts
  • Up to 250 transactions
  • 3 monthly financial reports (explained in layman's terms for clarity)

Mobile Clinic

Starting at $300

Ideal for small mobile clinics. Our pricing is unique to your business. Larger, multi-location/multi-dvm mobile practices may fall under our higher pricing tiers.

AAHA Standards + VMG Bookkeeping

We utilize the AAHA chart of accounts for all our clients to keep their books streamlined within the veterinary industry. We have an upgraded VMG package where we keep your books ready for quarterly DataLinking. 

*The pricing for the VMG package is approximately double the cost of our basic bookkeeping packages, which are listed above.

Are you interested in knowing exactly how many dollars you spend in each AAHA category of drugs and supplies? This is an additional service that we offer!

VMG Format Bookkeeping & Receipt Management

If you are looking for all the details on your Profit and Loss statements, we can help you with that! We can take your veterinary vendor bills and break them down line-by-line to show you exactly how much you are spending in each AAHA category of drugs and supplies. This service is ideal for clinics who are members of the Veterinary Study Groups, or for those who are wanting to adjust their spending on inventory but don't know where to start! 


During your no-obligation consultation, we will determine what your needs and goals are, and from there we'll prepare a customized proposal. We offer consistent, flat-fees for our monthly services. You'll never be charged an hourly rate. Bonus: Bookkeeping services are tax deductible.

In each service package, you'll receive:

  • A hands-free approach to bookkeeping so you can get back to your furry patients
  • The usual bookkeeping duties: recording, classifying and reconciling 
  • Bank reconciliation 
  • 3 detailed financial reports per month: your balance sheet, income statement, and cash flow statement (as well as a briefing of what they mean)
  • Access to our client portal, making monthly communication a breeze!
  • Your QBO subscription can be added into the monthly fee if you do not already have a Quickbooks Online account
  • Unlimited email communication to make sure we are on the same page

Onboarding Details

Take a look at what the on boarding process will look like, given we are a good match for each other: 

Step 1: Free Consultation

  • Complete the short "Discovery Form" survey upon scheduling a Free Consultation 
  • We ask simple questions to get to know your business before the consultation
  • All decision makers/owners should be present for the consultation
  • Read-only access to current records and Financial/Bank Statements may be requested
  • If all goes well on your end and ours, a Proposal will be presented after our initial consultation and financial analysis.

Step 2: Engagement Letter

  • Once the Proposal is approved/signed, an Engagement Letter will be presented
  • This is a written agreement between Veterinary Bookkeeper and your company. It will define the scope of work to be performed
  • Must be signed by all owners/partners and retainer fee or first month's payment received before starting work
  • NO CONTRACTS - month-to-month, with 30 days notice (on both ends!)
  • Monthly payments automatically deducted 
  • Fees are TAX-DEDUCTIBLE!

STEP 3: Setup & Maintenance

  • Already use QBO? Great! All we  need is an invite for access
  • New to QBO? No problem, we can handle the setup/migration for a one-time fee and determine the best software billing option for your company. 
  • Once set up, transactions will be pulled from your bank daily and then matched and reconciled on a weekly or monthly basis
  • You will be given a list of instructions of what we need on a monthly basis for things to run smoothly on my end
  • Our client portal allows us to ask questions and request documents, as needed
